Who we are
VLEI is a farm operations app run by EDIT: operator's registered name. Your organization (the farming business that signed up) decides who uses VLEI and what is recorded in it. For the data in VLEI, your organization is the responsible party under the Protection of Personal Information Act (POPIA), and we process it on its behalf.
What we keep
- For each user: name, email address, roles, and which farms they can open.
- Staff who don't sign in: the names and roles your supervisors enter (for example foremen and operators), so job cards can name them.
- Farm records: orchards and blocks, plantings, products and stock, job cards, programmes, harvest totals, crop events and photos.
- A log of every change: who made it, when, what it was before and after, and the reason when one is needed.
We don't import pickers' names or other personal details from scale systems; harvest keeps team totals only.
Why we keep it
Only to run VLEI for your organization: to plan and record the work on your farms, keep the records auditors and buyers ask for, and send the emails the app needs (invitations and password resets). We don't sell your data or use it for advertising.
Who can see it
- People in your organization, on the farms they are given access to, as their role allows.
- VLEI support staff. A small number of VLEI staff can open any organization to help with problems, check faults and set up new customers. Before they change anything in your organization they must give a written reason; every change they make is kept in your organization's change log with their name and that reason, and shows as VLEI support.
Where it is kept
Your data is stored by Supabase in the European Union (Ireland) and the app runs on Vercel, in Ireland. Emails are sent through Resend. Map imagery comes from Esri; no personal information is sent to them. These providers are bound to keep the data secure and to use it only to provide their service.
How long we keep it
Farm records are kept for as long as your organization uses VLEI, because spray, stock and harvest records must stay complete for audits; corrections are added rather than records being deleted. When your organization stops using VLEI, we agree with it what is handed back and what is deleted.
Your rights
Under POPIA you may ask what personal information is held about you, ask for it to be corrected, and object to how it is used. Ask your organization's owner first, or write to us at EDIT: privacy contact email. You may also complain to the Information Regulator (South Africa).
